Privacy Policy

1. Who we are

Canadian Self Storage Valuation Services Inc. ("CSSVS", "we", "us") provides self storage feasibility studies, appraisals and exclusive sale facilitation across Canada. Our head office is at 2298 Bowker Avenue, Victoria, BC V8R 2E4.

This policy explains how we handle personal information collected through cssvs.ca and when you contact us by email or phone. We follow British Columbia's Personal Information Protection Act, the federal Personal Information Protection and Electronic Documents Act (PIPEDA), and, for residents of Quebec, Quebec's Act respecting the protection of personal information in the private sector.

2. What we collect

Information you give us. When you request a proposal, order a Market Report, sign up for our newsletter or contact us, we may collect your name, company, job title, email address, phone number, the location and details of a property or project, and anything else you choose to include in your message.

Order and payment details. When you order a Market Report, we collect billing details needed to process the order. Card payments are handled by our payment processor. We do not store full card numbers.

Information collected automatically. When you visit our website, we and our service providers may collect technical information such as your IP address, browser and device type, the pages you visit and how you arrived at our site. See Cookies and analytics below.

Property and market information we use in our work, such as facility, rate and sales data, is generally business information. Where it includes personal information, we handle it in line with this policy.

3. How we use it

• To respond to your inquiry and prepare a proposal or letter of engagement
• To deliver the services and reports you engage us for, and to schedule appraiser walkthrough calls
• To process payments, keep accounting records and meet our legal and professional obligations, including the record-keeping requirements that apply to appraisers
• To send our newsletter, market updates and invitations, only where you have agreed to receive them. Every email includes an unsubscribe link
• To understand how our website is used and improve it

We do not sell, rent or trade personal information.

4. Who we share it with

We share personal information only as needed for the purposes above:

• Service providers who work on our behalf, including our customer relationship and email marketing platforms (Zoho Bigin and Zoho Campaigns), our email and document systems (Microsoft 365), our payment processor, our website host, and analytics and advertising providers such as Google. They may use your information only to provide services to us.
• Affiliated brokerages. Exclusive sale facilitation is provided through affiliated licensed brokerages in each province. When you engage us for a sale, we share the information needed to carry out that engagement.
• Professional advisors, such as our lawyers, accountants and insurers, under a duty of confidentiality.
• As required by law, for example in response to a court order, or to the Appraisal Institute of Canada as part of professional practice reviews.

5. Where it is stored

Your information is stored in Canada and may also be stored or processed by our service providers in other countries, including the United States. While it is outside Canada, it may be subject to the laws of that country. For residents of Quebec, we assess whether information will be adequately protected before it is communicated outside Quebec.

Our website uses cookies and similar technologies. Essential cookies make the site work. With your consent, we also use analytics cookies to understand how the site is used, and advertising cookies to measure and improve our online advertising.

You can accept or decline non-essential cookies in the cookie banner when you first visit, change your choice at any time using the "Cookie settings" link in the footer, or block cookies in your browser settings.

7. How long we keep it

We keep personal information only as long as we need it for the purposes it was collected for, or as long as the law or our professional standards require. Inquiry and newsletter information is deleted or anonymized when no longer needed. Engagement files, including appraisal work files, are kept for the retention periods required of us. When information is no longer needed, we securely destroy or anonymize it.

8. How we protect it

We use administrative, technical and physical safeguards appropriate to the sensitivity of the information, including access controls, multi-factor authentication on our business systems, and confidentiality obligations for our team and service providers. If a privacy incident creates a risk of serious harm, we will notify affected individuals and the appropriate privacy regulator as the law requires.

9. Your rights

Subject to limited exceptions in the law, you can:

• Ask what personal information we hold about you, how it has been used and who it has been shared with
• Ask us to correct information that is inaccurate or incomplete
• Withdraw your consent, including unsubscribing from our emails, at any time
• Ask us to delete information we no longer need
• If you live in Quebec, ask for a copy of your information in a structured, commonly used technological format

If you are not satisfied with our response, you can contact the Office of the Information and Privacy Commissioner for British Columbia, the Office of the Privacy Commissioner of Canada or, if you live in Quebec, the Commission d'accès à l'information du Québec.
